  • Position Summary: The Administrative Assistant position will provide administrative support to the assigned Cheiron consultants located in our Pinebrook, New Jersey, and New York City offices. Specifically, a higher level of support is needed for a very busy Principal Consulting Actuary in the Pinebrook, NJ office. To be successful in this role, this person must be able to accommodate a very flexible work schedule, communicate well, enjoy working in a highly professional and client service oriented role, have strong technical skills in Microsoft Office Suite, and exhibit high attention to detail and accuracy. This position requires someone who can be collaborative, proactive, and forward thinking. Cheiron offers an excellent benefits package upon hire.
  • Essential Job Functions:
    • Ability to accommodate a flexible weekly schedule in order to work with Principal Consulting Actuaries’ and consultants’ schedules, which at times will include working late on weekdays or some hours on a weekend if necessary
    • Assist Northern New Jersey’s Health Principal Consulting Actuary with client interactions, to include: maintaining an Outlook calendar and client contacts, reading emails to assure Principal Consulting Actuary has answered client requests, answering phone when Principal Consulting Actuary is out of the office, listening to voicemails to assure clients are contacted, and setting up GoTo meetings and conference calls
    • Organize and prioritize multiple projects and work under time pressure/strict deadlines
    • Prioritize and organize inquiries and requests while troubleshooting conflicts with little guidance
    • Effectively respond to questions and requests from consultants, clients, and the general public
    • Compose correspondence, format, proofread, edit, and produce letters, reports, and presentations
    • Make travel arrangements for assigned consultants and assure everything runs smoothly, including last minute changes to travel arrangements
    • Enter assigned consultants’ travel expenses into Cheiron’s time system and assist with client invoicing and payments
    • Coordinate documentation (paper and/or electronic)
    • Must manage one’s own workflow, pay close attention to detail, and follow through on assignments until completion with little or no guidance
    • Must quickly learn the Cheiron work environment, its clients, and contacts
    • Must learn and follow all instructions, office procedures, and company policies
    • Maintain office supplies for NJ and NY offices by checking inventory and ordering
  • Required Skills and Competencies:
    • Ability to think logically, exercise sound judgement, and make recommendations to ensure smooth day-to-day operations
    • Must be able to handle all situations with calm, grace, sophistication, and professionalism
    • Must have strong organizational skills, be able to handle hectic and changing priorities, and be able to multitask efficiently
    • Ability to comprehend and apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
    • Must have a high proficiency with Microsoft Office to include Word, PowerPoint, Excel, and Outlook (a proficiency test will be given to assess skills before employment)
    • Must demonstrate strong interpersonal skills and the ability to work with a wide variety of people, including various levels of management (both internally and externally)
    • Must possess excellent verbal/written communication and have a professional demeanor to organize calls, travel, meetings, and work with other Cheiron team members
    • Must be able to read handwritten notes, proofread, and have excellent knowledge of punctuation and grammar
    • Must be able to produce letters, reports, and presentations and provide a professional finish to the final work-product
    • Strong analytical skills including ability to add and subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
    • Ability to quickly learn and master new technology
  • Additional Requirement:
    • Ability to lift up to 10 lbs. of weight
  • Education and Experience:
    • Bachelor’s Degree from a four-year college or university is preferred
    • At least five years of experience as an administrative assistant, prior experience in a professional services firm is a plus
  • Travel: Employee will be required to work and travel between Cheiron’s Northern NJ office and its New York City office once or twice a month.
